See everything that happened to an order
Every order keeps a full history: status changes, edits, packing, payments, comments and problems, each with who did it and when.
Every order has a History at the bottom of its detail view. It lists everything that happened to the order, newest first, and says who did each thing. Use it to answer questions like "who cancelled this?", "what did we change after the customer called?" or "why was the payment refused?".
History is kept for as long as the order exists.
What's recorded
- Status changes, with the old and new status, for example "Paid → Shipped".
- Edits: items added or removed, quantities, the delivery method, address fields, the email address, tags and the new total. Each change shows its old and new value.
- Pick & pack: which workstation the order was sent to, marking it packed, and every scan at the packing station. A packing session shows as one entry with a line per scan, highlighted when a wrong item or one too many was scanned.
- Payments: payments that failed or were cancelled, refunds requested, completed or failed (with the amount and reason), and chargebacks (when a customer disputes a card payment).
- Shipping: labels, tracking numbers and delivery updates from your carrier.
- Comments your team leaves on the order.
- Issues: things that went wrong, such as a label that couldn't be created or an invoice that failed.
Who did it
Each entry says who made it:
| You see | Meaning |
|---|---|
| A team member's name | Someone on your team did it in the dashboard |
| Customer | The shopper, for example by placing or paying for the order |
| Rule 2 | A workstation rule sent the order to a desk |
| BaseLinker, Allegro, InPost, Stripe, API, … | An integration or app connected to your store |
| YNS support | Our support team, while helping you inside your store |
| YNS | Your Next Store itself, such as an automatic status update |
| Elliot | The AI Assistant |
Filter the history
Above the list, pick a filter to see one kind of entry:
- Status: status changes and shipping updates.
- Changes: edits to the order.
- Automation: everything done by rules, integrations and the system rather than a person.
- Pick & pack: workstations, packing and scans.
- Payments: payments, refunds and chargebacks.
- Issues: problems that need your attention.
A filter only appears when the order has entries of that kind.
Who can see what
Anyone who can view orders sees the history. Team members without access to customer details see which address or email field changed, but not the old or new values. See Invite team members to set what each person can see.
FAQ
Why doesn't an old order show who changed its status?
Orders from before order history existed show what was recorded at the time. Their status changes may say "Status set to Shipped" without the previous status or who made it.
Can I delete an entry?
No. History can't be edited, so it stays a reliable record. Comments are the exception: the person who wrote a comment can delete it, and so can an owner or admin.
Why isn't a failed card payment listed?
A card payment at checkout that fails before the order is placed has no order to attach to yet. Failed payments are recorded for orders that already exist, such as orders paid through a payment link.
Can I get the history outside the dashboard?
Yes. Developers can read it from the Orders API, and you can ask the AI Assistant, for example "who shipped order 1234?".
