Generate invoices
Issue numbered invoices automatically for every order, set your own numbering format, and download them as PDFs.
Plenty of customers — especially business ones — need a proper invoice, and plenty of tax authorities need you to number them in an unbroken sequence. YNS can issue one for every order automatically, so you're not writing them by hand at month end.
Turn on invoicing
Open Settings → Invoices and enable invoice generation. From then on an invoice is created automatically whenever an order is placed. You can also generate one by hand from an order's detail page if you need to.
Choose your numbering
Invoice numbers are built from a format you control, using tokens that get filled in for each invoice.

| number | The sequential number — 1, 2, 3, and so on |
| month | The month, either 9 or padded as 09 |
| year | The year, in full (2025) or short (25) |
Combine them into whatever your accountant expects — something like FV/07/2026/1.
You also pick a reset period: the sequential number restarts at 1 either monthly or yearly.
Tip: Settle on your format before you issue the first invoice. Sequential numbering is meant to be unbroken, and changing the pattern midway makes your books harder to explain.
Add invoice notes
Whatever you put in Invoice notes appears at the bottom of every invoice. It's the right place for payment terms, bank details, or any legal text you're required to include — for example, "Payment is due within 14 days."
Find and download invoices
The Invoices page lists everything you've issued, with the invoice number, the order number it belongs to, and the billing address. Open one to preview it or Download PDF to send it on or file it.
What's on an invoice
Seller and Bill To details, the issue date, each line item with quantity, unit price, tax rate and amount, the order summary with any discount, the payment method, and your notes. Your store address and details come from Settings → General, so keep those accurate — see Edit your store details.
FAQ
Do I need invoices if I only sell to consumers?
It depends where you trade. Many consumer sales are fine with the order confirmation, while business customers and several countries expect a formal invoice. Check what your local rules require.
Can I issue an invoice for an older order?
Yes. Open the order and generate the invoice from its detail page.
What happens to invoices when I refund an order?
The invoice stays as the record of what was billed. Handle the money side through the refund itself — see Issue refunds and handle returns.
Are taxes shown on the invoice?
Yes — each line shows its tax rate and amount, based on how your store calculates tax. See Set up taxes.
