Connect Base.com (formerly BaseLinker)

Manage your YNS orders, stock and prices in Base.com. Orders flow into Base, and statuses, tracking numbers, payments, stock and prices flow back to your store.

Base.com, known until recently as BaseLinker, is where many Polish merchants run orders from every channel – Allegro, Amazon, their own store – and print courier labels in one place. Connect your YNS store to Base and your store's orders show up there next to everything else, while the work you do in Base (shipping an order, changing stock, adjusting a price) flows back to your store.

What the integration does

  • Orders flow into Base. Base picks up your store's orders with the customer's address, the parcel locker they chose, the items and the prices they actually paid after discounts.
  • Order updates flow back. When you move an order to processing, shipped, completed or cancelled in Base, or add a tracking number, the order in YNS changes too – and your customer gets the same emails as if you'd done it in YNS.
  • Payments flow back. When Base marks a bank transfer order as paid, YNS records the payment and sends the customer their order confirmation. For cash on delivery, it records that the courier's cash came in.
  • Stock stays in sync both ways. Base reads your stock, and when something sells on another channel Base manages, like Allegro, it lowers the stock in your store.
  • Prices can be managed in Base. A price you change in Base becomes the price in your store.
  • Orders from your other channels come in. When Base sends you an order it took on Allegro, Amazon or another channel, it appears in YNS Orders with a Base badge naming the channel, and counts in your analytics like any other sale.
  • Products and categories can come from Base. Products you add to your store from Base's catalog are created in YNS as published products, with their photos, description, price and stock.

Before you start

  • A Base.com account. Your subscription and any channel fees live with Base.
  • Decide where you manage stock and prices. Both systems can change them, so pick one place to edit them day to day and let the other follow.
  • Allegro in one place only. If Base already manages your Allegro account, don't also connect the Allegro add-on to the same account – each Allegro sale would arrive twice and lower your stock twice.
  • Let one system take the stock for other channels' orders. In Base's settings for sending orders to your store, choose whether the store should reduce stock. If Base already keeps your YNS stock in sync, leave that off, so a sale isn't counted twice.

Connect your store

  1. In YNS, open Add-ons and choose Base.com (formerly BaseLinker). Copy the integration file address shown on the page.
  2. In Base, go to Integrations → Add new integration → Shops and choose the option for a shop connected with an integration file.
  3. Paste the address from YNS as the integration file address, give the shop a name and save.
  4. Base shows a communication password for the new shop. Copy it.
  5. Back in YNS, paste the password into Communication password (bl_pass) and click Connect Base.

Within a few minutes the add-on page shows Last request from Base with a time – that's how you know the connection works. Base keeps checking your store every few minutes from then on.

Note: Base's own guide asks you to download a baselinker.php file and upload it to your server. Skip that part: YNS hosts the integration file for you, and the address you copied is where it lives.

Good to know

  • Products with variants. A product with a single variant appears in Base as a simple product. A product with several variants (sizes, colours) appears with each variant listed, each with its own stock and price.
  • Bundles and sets aren't sent. Base manages stock per product, and a bundle has no stock of its own.
  • Products without stock tracking are reported to Base with a stock of 999, so the offers Base publishes from them stay active. Base can't turn tracking on by accident: a sale in another channel leaves them untracked.
  • Order numbers match. Base keeps your YNS order number as the shop's order number, next to its own ID.
  • Which orders Base sees. Base sees the orders of the mode your store is in – live orders once you've launched, test orders while you're still in test mode.
  • Warehouse owns its stock. If you use Warehouse, stock comes from your deliveries and counts, so Base can't overwrite it. When Base tries, YNS lists it once a day under Issues.

FAQ

How do I see only the orders that came through Base?

In Orders, pick Base.com (BaseLinker) in the Channel filter. The same filter on Analytics shows revenue and orders for one channel at a time, so you can compare your online store with the sales Base brings in.

What happens to an item Base sells that isn't in my YNS catalog?

It's added to the order as a custom item at the price the buyer paid, so the order total is right. It doesn't affect your YNS stock.

Does cancelling an order in Base refund the customer?

No. Cancelling in Base cancels the order in YNS and puts the items back in stock, but money only moves through your payment provider. Issue the refund in YNS – see Issue refunds and handle returns.

Can Base mark an order as refunded or change a paid order back to unpaid?

No. Base can move an order through processing, shipped, completed and cancelled, and it can mark an unpaid order as paid. Refunds and reservations stay in YNS, where the money and the stock are handled together.

My customers got a shipping email without a tracking link. Why?

Base sends the tracking number and the status change separately. When the tracking number arrives first, the "shipped" email includes it. If your Base automation changes the status before it creates the shipment, set it to add the tracking number first.

How do I disconnect?

Open the add-on in YNS and click Disconnect Base. Base stops receiving data straight away. Remove the shop in Base too, so it stops trying to connect.
