Wholesale gives repeat business buyers — cafés, resellers, other shops — their own prices and a place to reorder themselves, without any of it showing up on your public storefront. Retail pricing, checkout, and promotions are untouched; wholesale runs entirely alongside them.

> **Not a storefront checkout.** A wholesale price never reaches your `[domain]` storefront pages or a cached product. It only ever appears in your dashboard's Wholesale section, the order form, and the buyer's own ordering panel.

## Turn it on

Wholesale is a module. Open **Settings → Modules**, find **Wholesale**, and switch it on. A **Wholesale** section then appears in your sidebar with **Clients** and **Price lists**.

## Build a price list

A price list is the deal you give a client — go to **Wholesale → Price lists → New price list**.

- Give it a name, like "Restaurants" or "Reseller 20%".
- Set a **discount %** off retail. This applies to every product that doesn't have its own fixed price.
- Optionally, open the list afterward and set **fixed prices** for specific products — a fixed price always wins over the percentage for that product.

The discount is calculated off your regular retail price, before any promotions, volume-pricing tiers, or loyalty discounts — those never factor into a wholesale price.

A price list can be **archived** rather than deleted. Archiving removes it from the pickers so it can't be assigned to anyone new, but any client already on it keeps their prices — archiving is a way to stop offering a deal to new clients without disturbing the clients who already have it. You can **Restore** it later.

> **Note:** Fixed prices lock a price list to your store's current currency. If you have fixed prices set anywhere, you'll need to remove them before you can change your store currency.

## Add a client

From **Wholesale → Clients → Add client**, search for an existing customer or type any email — the buyer doesn't need an account yet. Assign a price list and add any notes (delivery days, agreed terms, a contact person).

**Email the panel invitation** is checked by default, so the buyer immediately gets an email with a link to their ordering panel. You can resend it any time from the client's page, and every send shows up in your Messages inbox.

If the address doesn't have a YNS account yet, the deal is waiting for them — as soon as they sign in or create an account with that exact email, they'll see their prices.

## The buyer's panel

Business buyers order from their own panel, separate from your regular storefront — reachable from the invitation email or a link you copy from the client's page (**Copy buyer panel link**). There, a buyer:

- Browses your catalog at their negotiated prices.
- Builds an order and sees running totals (merchandise, tax, total) before submitting.
- Places the order, which becomes a **reserved** order — stock is set aside immediately, but nothing is charged yet.
- Pays through a link, or repeats a previous order in one click.
- Sees every order you've placed for them too, under "My orders".

## Getting paid

A wholesale order doesn't charge a card automatically — it's **reserved** first, so you and the buyer can confirm everything before money moves. From there:

- The buyer can pay by card (if you accept card payments) or bank transfer (if you've added your bank details), using their pay link.
- You can always mark an order **paid** by hand — useful for cash, an invoice paid outside YNS, or any other arrangement.

If you don't have a payment method configured, the order still exists — you'll just need to mark it paid manually once you've been paid.

## Type an order for a client

You don't have to wait for the buyer to order themselves. Open **Orders → New order**, pick the client, and every price fills in at their negotiated rate automatically. This is the fastest way to enter an order that came in by phone, text, or email.

## Spotting wholesale orders

Orders placed through a client's deal — by them or by you — carry a **Wholesale** badge on the orders list and in the order detail. Everything else about handling the order (fulfillment, refunds, invoices) works exactly like a retail order — see [View and manage orders](/help/orders/manage-orders).

## Client vs. customer

Every wholesale client is also a customer (anyone who's bought from you), but only a client has a negotiated price list attached. Adding someone as a wholesale client doesn't change how they show up anywhere else — it just layers a deal, and a panel, on top of their existing customer record.

## Archiving a client

Archiving a client from their page immediately stops their negotiated prices and locks them out of the panel — their past orders are untouched. It's the right move for a business relationship that's ended, without deleting any order history.

## FAQ

### Does a wholesale price show up anywhere on my storefront?

No. Wholesale prices only ever appear in the dashboard and in the buyer's own panel. Your public storefront, cached product pages, and retail checkout never see them.

### Can a buyer sign up for wholesale themselves?

No — you have to add them as a client first. There's currently no "request a deal" flow for buyers to apply on their own.

### What happens if I archive a price list that clients are using?

Nothing changes for clients already on it — they keep their prices. You just can't assign that list to any *new* client until you restore it.

### Can I offer volume discounts within a wholesale price?

Not yet — a wholesale price is a flat percentage or fixed price per product, with no minimum order quantity or additional volume tiers.

### Can wholesale clients see other clients or products I don't sell to them?

No. A client only ever sees your published catalog and their own prices and order history — never other clients' details.

### Do wholesale orders count toward my regular sales analytics?

Yes — a reserved order is a real order and counts like any other once it's paid, it's just flagged with the Wholesale badge so you can tell it apart.
